Privacy Policy

Effective date: 10 September 2026

This Privacy Policy explains how Mail Suite collects, uses, shares and protects personal information when you visit mymailsuite.net, create an account, place an order, contact us or use our email marketing and productivity services.

1. Information we collect

We may collect account and order information such as your name, email address, billing details, selected plan, payment status and transaction reference. Payment-card or banking information is processed by the payment provider and is not stored by Mail Suite unless expressly stated at checkout.

When you use the service, we may process configuration data, campaign details, recipient information you choose to provide, email and link engagement events, document-view events, electronic-signature workflow data, reports, support messages and diagnostic information. We also collect device, browser, IP address, log, cookie and website-usage data.

2. How we use information

  • Provide, activate and administer purchased products.
  • Authenticate users and protect accounts.
  • Process orders, maintain records and provide customer support.
  • Deliver tracking, campaign, document, signature and reporting features requested by users.
  • Monitor reliability, prevent misuse and improve the service.
  • Send essential service notices and, with appropriate permission, product updates.
  • Meet legal, accounting, fraud-prevention and regulatory obligations.

3. Your responsibilities for recipient data

If you upload or process recipient or customer information, you are responsible for having a lawful basis and any required consent to collect, use and contact those individuals. Mail Suite processes that information to provide the features you direct us to perform.

4. Cookies and analytics

We may use necessary cookies for sessions, account access, security, cart and checkout functions. We may also use limited analytics technologies to understand website and service performance. Browser controls may allow you to restrict optional cookies, but necessary functions may not work correctly if essential cookies are blocked.

5. When information is shared

We may share information with trusted hosting, infrastructure, email, analytics, security, support and payment service providers only as needed to operate Mail Suite. We may also disclose information where required by law, to protect users or the platform, in connection with a business reorganisation, or with your direction or consent. We do not sell personal information.

6. Google and connected services

If you connect Gmail or another third-party service, the information exchanged depends on the permissions you approve. Mail Suite uses connected information only to provide and secure the requested functionality, subject to this policy and the provider’s own terms and privacy controls. You can revoke a connection through the relevant provider where supported.

7. Retention

We retain information only for as long as reasonably necessary for the purposes described, including active service delivery, security, dispute resolution, accounting and legal compliance. Retention periods vary by data type and account status. We may anonymise information that no longer needs to identify you.

8. Security

We use reasonable administrative, technical and organisational safeguards designed to protect information. No online service can guarantee absolute security, so users should use strong credentials, restrict account access and notify us of suspected misuse.

9. Your choices and rights

Subject to applicable law, you may request access to, correction of or deletion of your personal information, object to or restrict certain processing, withdraw consent where processing relies on consent, or request account closure. Some information may be retained where required for legal, security or accounting purposes.

10. Children

Mail Suite is intended for business and professional use and is not directed to children. We do not knowingly collect personal information from children without appropriate legal authority.

11. International processing

Service providers or connected platforms may process information outside Pakistan. Where this occurs, we take reasonable steps to use providers and arrangements that protect information consistently with applicable requirements.

12. Changes to this policy

We may update this policy as our services or legal obligations change. The current effective date will be shown at the top of this page.
